Job Summary
- We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to support our day-to-day operations.
- The ideal candidate will provide administrative and organizational support to the team, ensuring smooth execution of tasks, projects, and communication.
Responsibilities
- Email Management: This includes responding to emails and overall inquiries from internal and external individuals, directing emails to the relevant departments, following up, and sending acknowledgments.
- External Liaison: Identifying and interacting with potential external partnership organizations and stakeholders to foster collaborative relationships. This includes engaging guest speakers for mastery sessions.
- Internal Liaison: This involves communication with mentees and mentors on a wide range of occasions. Including, communicating rejection, acceptance into, or withdrawal from the mentorship program, mentee-mentor pairing, reminders on task completion, etc.
- Record Keeping: maintaining records of program activities, mentee-mentor task completion/submission progress, attendance, and communication.
- Documentation: Ensuring that program documentation is accurate and up-to-date.
- Event Planning: This involves creating event agendas, registration forms, feedback forms, and engaging quizzes, scheduling events on Google Calendar, and sending invitations to participants.
- Birthday Calendar Management: This involves scheduling Birthdays of mentees, mentors and team members/volunteers on google calendar.
- Mentoring Log Administration: Ensure that weekly mentoring logs are shared with mentees and mentors. Followup to ensure the logs are completed.
- Assessment Grading Facilitation: This includes distributing assigned assessments to evaluators/assessors for grading and collating the graded assessments.
- Others: Collation and update of contact list for newsletters/campaigns
Qualifications
- Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
- Strong organizational and time management skills.
- Proficiency with tools like Google Workspace (Docs, Sheets, Calendar), Zoom, and project management tools (eg, Trello, Asana).
- Excellent verbal and written communication skills.
- Ability to work independently, meet deadlines, and manage multiple tasks.
