Job Description

  • We are seeking an organized, proactive, and detail-oriented Secretary to join our esteemed law firm. The ideal candidate will provide administrative support to attorneys, maintain office efficiency, and assist in ensuring the smooth operation of day-to-day tasks.

Key Responsibilities

  • Manage attorneys' schedules, appointments, and meetings.
  • Draft, proofread, and format legal documents, correspondence, and reports.
  • Handle sensitive and confidential information with discretion.
  • Serve as the first point of contact for clients via phone, email, and in person.
  • Relay messages and correspondence promptly to the appropriate personnel
  • File, organize, and maintain legal documents and case files.
  • Coordinate the delivery and receipt of legal documents.
  • Monitor deadlines and ensure timely submission of filings.
  • Order office supplies and maintain inventory.
  • Assist in preparing materials for meetings, presentations, and court filings.
  • Collaborate with other staff members to support the smooth functioning of the office.
  • Operate office equipment, including computers, scanners, and copiers.
  • Utilize legal management software for case tracking and document retrieval.

Job Requirements

  • HND/ BSc /MSc. in Office Administration or a related field.
  • Prior experience as a personal assistant and having worked in a busy law firm is advantageous.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Familiarity with legal terminology and procedures is a plus.
  • Ability to work under pressure and meet tight deadlines.
  • High level of professionalism and confidentiality.
