Job Description
- We are seeking an organized, proactive, and detail-oriented Secretary to join our esteemed law firm. The ideal candidate will provide administrative support to attorneys, maintain office efficiency, and assist in ensuring the smooth operation of day-to-day tasks.
Key Responsibilities
- Manage attorneys' schedules, appointments, and meetings.
- Draft, proofread, and format legal documents, correspondence, and reports.
- Handle sensitive and confidential information with discretion.
- Serve as the first point of contact for clients via phone, email, and in person.
- Relay messages and correspondence promptly to the appropriate personnel
- File, organize, and maintain legal documents and case files.
- Coordinate the delivery and receipt of legal documents.
- Monitor deadlines and ensure timely submission of filings.
- Order office supplies and maintain inventory.
- Assist in preparing materials for meetings, presentations, and court filings.
- Collaborate with other staff members to support the smooth functioning of the office.
- Operate office equipment, including computers, scanners, and copiers.
- Utilize legal management software for case tracking and document retrieval.
Job Requirements
- HND/ BSc /MSc. in Office Administration or a related field.
- Prior experience as a personal assistant and having worked in a busy law firm is advantageous.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Familiarity with legal terminology and procedures is a plus.
- Ability to work under pressure and meet tight deadlines.
- High level of professionalism and confidentiality.
