Job Description

  • The Front Desk Officer serves as the first point of contact for visitors, clients, and employees.
  • They are responsible for managing front office operations, including welcoming guests, answering calls, managing inquiries, and providing administrative support to ensure smooth office operations.

Job Responsibilities
Reception Management:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls to appropriate departments or individuals.
  • Manage the visitor log book, issue visitor passes, and ensure security procedures are followed.
  • Respond promptly to inquiries via phone, email, or in person.

Administrative Support:

  • Manage the front desk area, ensuring it is tidy, organized, and presentable at all times.
  • Assist with scheduling meetings, managing calendars, and booking appointments.
  • Sort, distribute, and manage incoming and outgoing mail, packages, and correspondence.
  • Assist in basic data entry, record keeping, and filing of documents.
  • Support the administrative team with clerical tasks as required.

Coordination and Communication:

  • Act as a liaison between departments and ensure effective internal and external communication.
  • Provide accurate information to visitors, clients, and employees regarding company policies, services, and general inquiries.
  • Coordinate office supplies inventory and place orders as needed.

Office Management:

  • Ensure the reception area and meeting rooms are well-maintained and equipped.
  • Assist in organizing staff events, meetings, or workshops when required.
  • Monitor office equipment (e.g., printers, phones) and report issues for maintenance.

Qualifications

  • Minimum of a High National Diploma or Bachelor’s degree in Business Administration, Office Management, or related field is an added advantage.
  • At least 1 - 2 years of experience in a front desk, receptionist, or administrative role.
  • Experience in customer-facing roles is highly desirable.
  • Excellent organizational, time management, and problem-solving skills.
  • Strong communication skills, both verbal and written, with the ability to interact effectively with individuals at all levels.
  • Proficiency in Microsoft Office suite and other relevant software.
  • Ability to handle multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

Salary
N100,000 Monthly.
